Introduction
Company Tax Liabilities is a client-level screen that summarizes the liabilities for each payroll. The Service Bureau may create a "Client" user role if you want the client to view this information.
Company Tax Liabilities
This screen is available under Client Management > Taxes > Company Tax Liabilities.
The Company Tax Liability screen provides details on all tax liabilities. There are four options for viewing the liabilities, each with different filtering selections.
Payroll Filter:
In selecting the Payroll Filter, you can choose individually each Pay Date processed or imported as prior balances under Select Payroll. To change the view, select a different Payroll and click Filter.
An additional filter is Display zero-dollar liabilities to search for zero amounts in the filter.

Export
The Export option adds more fields to the Pay Date, QTD & YTD Filter when Result View is set to "Detail."

Filters
For Payroll Filters:
· The Year and Select Payroll
For Pay Date Filters:
· From/To date
· Result View: Select either "Detail," "Summary," or "Summary by Due Date."
· Pay Group: Select "All," or specific pay groups available for the company
· Tax Group Description: Key in type of tax
· Status: Select either "Pending," "Held," "Paid," "Prepaid," "Manually Paid," "Refunded," or "Converted to Tax Credit"
For QTD Filters:
· Select Year/Quarter
· Result View: Select either "Detail," "Summary," or "Summary by Due Date."
· Pay Group: Select "All," or specific pay groups available for the company
· Tax Group Description: Key in type of tax
· Status: Select either "Pending," "Held," "Paid," "Prepaid," "Manually Paid," "Refunded," or "Converted to Tax Credit"
For YTD Filters:
· Select Year
· Pay Group: Select "All," or specific pay groups available for the company
· Tax Group Description: Key in type of tax
· Status: Select either "Pending," "Held," "Paid," "Prepaid," "Manually Paid," "Refunded," or "Converted to Tax Credit"
Information
The columns on the screen will contain the following:
· Tax Group Description: Indicates the type of tax and jurisdiction.
· Liability Type: This will be based on the action to generate the liability.
· Payroll Type: This is available in Detail view only. The options are:
o Regular Payroll or Regular Auto-Run
o Special Payroll
o Current Quarter Adjustment
o Prior Quarter Adjustment
o YTD Adjustment
· Tax Description: This lists the tax paid or pending for that Tax Group. These figures coincide with the information on the Payroll Summary.
· Amount: The liability generated for that tax description in the current payroll or range of dates selected.
· Pay Group: If multiple pay groups are set up at the client level, the liability and the pay groups listed in this column will be broken down per pay. You are also able to filter by a specific pay group.
· PR Run #: This number corresponds to the Payroll Run number under either Report Archive or Payroll Run History.
· Frequency: This indicates how often the tax payment for that jurisdiction is scheduled.
· Status: Status will indicate if the payment is "Paid," "Prepaid," "Pending," "Manual Pay," "Refunded," or "Held." See below for details:
o All liabilities with your Service Bureau before service will indicate a "Prepaid" status.
o The Service Bureau can change the "Prepaid" status for any liabilities they will assume responsibility for, such as Federal and state unemployment if a mid-quarter start and the liability is not due by the end of the quarter.
o Once a liability is changed to pending for any jurisdictions where the Service Bureau assumes responsibility, the status will show as "Pending" until the Service Bureau pays.
o Once the client is in "Active" status, all liabilities will show as "Pending" until the Service Bureau pays the liability.
o If the status is "Held," the Service Bureau has changed the status not to pay the taxes. Some of the reasons may be:
§ NSF
§ Awaiting wire from client
· Period End Date: Liability end date.
· Due Date: The due date of the payment, based on frequency.
· Process Date: The date the payment is processed.
· Payment Method: Based on the payment method selected on the Tax Maintenance screen or overridden in Payment Processing.
· Process Batch ID: ID number assigned to the Payment batch history.
History
Provides the history of liabilities. It includes edits to the Status, Tax Period End Date, and Due Date. You can view the history by clicking the icon next to each row.
